Council meetings are open to all and generally take place on the third Thursday of every month at 7:00 p.m. in the undercroft.
President Fred
called the meeting to order at 7:00 p.m., and Pastor Bill opened with
devotions. President Fred welcomed Amy, the newly appointed Deacon of Youth
Activities, attending her first council meeting.
Carol submitted
the May Council Meeting Minutes, and with one amendment, it was approved.
Lisa submitted
the Treasurer’s Report, and it was approved.
In Steve’s
absence, President Fred submitted the amended Archives and Records
Management Policy for Church Records for approval. He noted the policy may
not be perfect, but we needed to get a policy in place. After it is
implemented, we can make changes as needed. Motion passed unanimously.
Bruce updated
the Council on the efforts made regarding security. Security options are
still being considered in consultation with the Pre-School and
recommendations will be made at a later date.
A new piano was
delivered and installed in the Choir Room. The old piano in the Bridal
Parlor was removed at that time.
Notice has been
received from Christus Victor Lutheran Church that they are going to
settlement on their property purchase. Once we have verification of the
settlement, our gift of $75,000 to assist with that purchase will be sent,
probably within a week.
The
Constitutional Review Committee is continuing its work.
Property has
learned that the Paulinum Seminary in Namibia could use our green hymnals
and we are working with the Pastor there to coordinate sending the hymnals
with books purchased through Gifts of Hope. Thrivent will pay for the
shipping costs.
Jody, chair of
the Budget Committee, noted that we will follow the same budget development
plan as last year and wants to begin our budget formulation in July. The
Budget Committee will be comprised of the four members of the financial
team, plus the Deacon of Stewardship, and one Congregational Representative.
The Compensation Committee has been formed, led by Assistant Financial
Secretary John, and assisted by Jill and Amy. The Council selected Tuesday,
July 22, as the date for the congregational forum on the budget. President
Fred noted that all the Deacons should consider their budget needs not just
for 2009 but to extend it our for two or more years.
Amy noted that
she has just gotten started in her position but has met with Pastor Bill and
completed the transition from the former Youth Directors. She has sent an
introductory e-mail to the known 9th - 12th graders and their parents. She
believes it essential to get the parents involved in the program. An
introductory meeting will be held on September 7 for the parents of 3rd to
12th graders to establish contact, distribute a fall schedule and solicit
ideas on the program.
There will be
an ELCA Youth Gathering in New Orleans in July 2009 and in the fall we will
begin announcing this gathering and raising money to send some of our youth
to this event.
Vacation Bible
School begins on June 23. Pastor Bill and the Deacon of Education will be
involved, along with others, and will have an opportunity to continue
planning for future events. Pastor Bill will be working with Amy and Ana
Rosa to revitalize the youth ministry and Christian education.
There will be a
meeting on Tuesday, June 24, with a representative of Arlington County
concerning the county projects that will impact the intersection of
Arlington Boulevard and Jackson Street. The upgrade of the pedestrian bridge
has already begun and we expect minimal impact. The Jackson Street sidewalk
improvement project will be the topic for the June 24 meeting and Council
members are encouraged to attend and ask questions as this project could
result in our losing several parking spaces in the south parking lot.
Pastor Bill
reported on the recent Synod Assembly held at Roanoke College. It was the
first Assembly with the new Bishop and full report of actions voted on is
available on the Metro DC Synod website.
Amy and Mary are coordinating our booth at the Arlington County Fair which
begins on August 6. Council members are encouraged to volunteer to cover
shifts at the Fair. We will be selling our 75th Anniversary cookbooks.
The 75th
Anniversary Ice Cream Social will begin at 3:00pm, Sunday, July 13. Games
are being planned for the children for the first hour with ice cream being
served around 4:00 p.m. Assistance will be needed for set-up and clean-up.
Larry Farnsworth called attention to the article concerning the 75th
Anniversary, which recently appeared in the Gazette.
Bruce raised
the question of whether effort should be made to dispose of the Bryce
Mountain property currently owned by the church. Since this property is
never used and we have been unable to sell it, he suggested we look into
donating the property to a Lutheran camp.
There being no other business, the meeting was adjourned at 9:30pm and closed with the Lord’s Prayer.
